Job Title:                      Accounts Payable Manager

Department:                 Accounting/Finance

Reports to:                    US Controller

Job Description:          Full-time, salaried Accounts Payable Manager position responsible for efficient processing of accounts payable, overseeing the AP team, and assisting in managing the disbursement process. 

       

Job Responsibilities:     

  • Process vendor invoices by matching with purchase requisitions, purchase orders, contracts, and receiving documents, verifying approval for payment, and recording and filing
  • Calculate and properly classify expenses by entity and country
  • Supervise AP Clerks (team of 4 Clerks currently)
  • Work with Treasury to manage weekly & off-cycle check runs ensuring timely vendor payments
  • Provide guidance and training on correct coding of AP invoices in two different systems
  • Assist in the preparation of Vendor 1099 forms at year-end
  • Assist in streamlining the purchasing / disbursement process
  • Help to ensure proper policies, procedures, and controls are maintained and followed
  • Assist in training other departments regarding the disbursement process to help mitigate emergency and off-cycle check requests
  • Other general accounting support functions
  • Troubleshoot problems and create reports in SAP-based ERP system.
  • Code monthly credit card receipts for events
  • Hold AP meetings to communicate issues and motivate AP Clerks
  • Work with Staff Accountants to identify missing transactions on monthly statements
  • Work with Legal is sending out Levy payments for Wellness Advocates.
  • Identify and look for improvements to help AP be more efficient

Job Qualifications:

  • 5+ years of AP experience required
  • AP Supervisor/Manager experience preferred
  • 2 or 4 year college degree preferred
  • Experience with both SAP and QuickBooks Enterprise software preferred
  • Advanced Microsoft Excel skills
  • Attention to detail
  • Ability to quickly and carefully resolve issues in a constant growth environment
  • Professionalism in working with vendors and peers
  • Excellent written and verbal communication skills
  • Proven focus on meeting specified deadlines
