Job Description:

We are seeking an organized and proactive Administrative Assistant to join our organization. In this role, you will provide essential support to our Quality Assurance department by efficiently managing administrative tasks, fostering seamless communication, and contributing to the overall efficiency of our operations.

Job Responsibilities:

  • Required to work odd hours

  • Facilitate the scheduling and coordination of meetings, interviews, events, and related activities.

  • Collect and condense data for key performance indicators, aiding in informed decision-making.

  • Create accurate and concise meeting minutes, notes, and internal materials to support efficient communication.

  • Review emails and act as a liaison between various departments to swiftly address administrative and operational challenges.

  • Assist the Project Manager in executing special projects, adding value to our team's initiatives.

  • Manage travel arrangements, including compiling and organizing expense reports for seamless reimbursement.

  • Craft polished and visually engaging presentations, enhancing the effectiveness of our communication.

  • Coordinate departmental activities to optimize collaboration and productivity.

  • Maintain an updated organizational chart for the department, ensuring clarity in roles and responsibilities.

  • Oversee office supply orders, ensuring a well-equipped and efficient work environment.

  • Perform diverse administrative tasks such as filing, typing, copying, binding, and scanning.

Job Qualifications:

  • High school diploma, supplemented by some college education (preferred).

  • 2 to 3 years of experience in administrative or executive support roles, showcasing your capability.

  • Strong verbal and written communication skills, facilitating effective interaction.

  • Exceptional time management and multitasking abilities, enabling prioritization of tasks.

  • Proficiency in Microsoft Office Suite, demonstrating technical expertise

  • Outstanding organizational skills, contributing to streamlined processes and structured workflows.

  • Keen attention to detail and accuracy, ensuring high-quality work output.

  • Capacity to work independently and collaboratively, fostering a positive and energetic team culture.
